Overview

HeyNico (“we,” “us”) provides a voice-first AI assistant for solo contractors and small crews. This policy describes what information we collect when you use HeyNico, how we use it, and the choices you have.

Information we collect

  • Account information: your phone number (for sign-in), name, business name, preferred language, and time zone.
  • Content you create: notes, tasks, reminders, client and job records, activity log entries, and email drafts you author through the assistant.
  • Voice and transcripts: audio you record through the push-to-talk feature is transcribed in real time. We store the resulting transcripts as part of your conversation history. We do not retain raw audio after transcription completes.
  • Usage and diagnostics:basic logs about how the service is used (model calls, token counts, errors) so we can keep it working and improve quality.

How we use information

  • To provide the assistant's features (capture, recall, reminders, drafts, briefs).
  • To deliver notifications you have asked to receive (SMS, push, email).
  • To monitor quality, prevent abuse, and improve the service.
  • To comply with legal obligations.

We do not sell your personal information. We do not use the contents of your account to train third-party AI models.

Service providers

HeyNico relies on a small number of vendors to operate. These providers process information only on our instructions:

  • Anthropic and OpenAI — language model and transcription providers. Conversations and transcripts are processed by these providers; per their business terms, the contents are not used to train their models.
  • Supabase — database, authentication, and storage.
  • Vercel — application hosting.
  • Twilio — phone-based sign-in and SMS notifications.
  • Resend — outbound email.
  • Stripe — subscription billing (when applicable).

SMS notifications

When you create a HeyNico account, you consent to receive transactional SMS messages from us — including the morning brief teaser, task and appointment reminders, overdue alerts, and critical account notices.

  • Message frequency varies based on your activity and preferences. Most users receive a handful of messages per day at most.
  • Cost. Message and data rates may apply, depending on your mobile plan.
  • Opt-out. Reply STOP to any HeyNico SMS to unsubscribe from text notifications. You can also turn SMS off in your account settings. Opting out of SMS does not affect in-app or push notifications.
  • Help. Reply HELP to any HeyNico SMS, or email hello@heynico.app.
  • Mobile carriers are not liable for delayed or undelivered messages.
  • We do not share your mobile number with third parties for marketing purposes. Phone numbers are used only to sign you in and deliver the notifications described above.

Data retention

We retain your account content for as long as your account is active. You can delete individual records from inside the app, or request full account deletion by emailing us. Once an account is deleted, we remove personal information from active systems within 30 days; some information may persist in backups for a limited period before being overwritten.

Security

We use industry-standard practices to protect your information, including encryption in transit, encryption at rest, row-level security on our database, and access controls scoped to your account. No system is perfectly secure; if we become aware of a breach that affects you, we will notify you as required by law.

Your choices

You can review and update your account information from inside the app. You can request a copy of your data, ask us to correct it, or ask us to delete your account by emailing hello@heynico.app. Residents of California and other US states with applicable privacy laws have additional rights, which we honor on request.

Children

HeyNico is not directed to children under 13, and we do not knowingly collect information from them.

Changes to this policy

We may update this policy from time to time. The “last updated” date at the top reflects the most recent change. Material changes will be communicated in the app or by email.
